Credits & account

ScanPay is pay-as-you-go: you buy credits and spend one per scan. No subscription, and credits never expire. This page also covers business billing and VAT, invoices, and automatic top-up.

How credits work

A credit is simply one scan. Whether you upload a file or forward an invoice by email, each processed invoice costs one credit.

  • One credit = one scan. The free SEPA QR generator never uses credits.
  • Failed scans are refunded automatically, so you only pay for results.
  • Credits never expire and there is no monthly subscription.

Buying credits

    Open Buy credits

    Click your credit balance in the top bar, or open the Buy credits page.

    Choose a package

    Pick the credit package that fits how much you scan. Bigger packages cost less per scan.

  3. 03

    Pay securely

    Add your billing details if you need a business invoice, then pay by card through our secure checkout. Your credits are added to your balance straight away.

Business billing & VAT

Buying as a company? Add your business details so they appear on your invoice and the right VAT treatment is applied.

  • Tick "I am a business" at checkout to add your company name, address and VAT number.
  • We check your VAT number against the EU VIES database. A valid EU VAT number outside Belgium gets the reverse charge, so no VAT is added.
  • Save your details once under Account → Billing details and they are pre-filled on every future purchase.

How VAT is calculated

Belgian customers and private individuals are charged Belgian VAT. Businesses with a validated VAT number in another EU country pay no VAT (reverse charge); the total updates the moment your number is confirmed.

Invoices

Every credit purchase gets a proper invoice automatically, ready for your bookkeeping.

  • An invoice is created for each purchase, with your billing details and VAT shown correctly.
  • Find them under the menu next to your email → Invoices, or from the credit history page.
  • Filter by year and quarter, download a single invoice as PDF, or download a whole period as one ZIP.

Automatic top-up

Never run out mid-scan. Automatic top-up buys a new package for you as soon as your balance gets low.

    Open automatic top-up

    Open the credit history page from your credit balance in the top bar and find the Automatic top-up panel.

  2. 02

    Set your threshold and package

    Choose the balance at which top-up kicks in and which package to buy each time.

  3. 03

    Save a card

    Add a card once. When your balance drops below the threshold we charge it automatically and add the credits. You can also reuse the card you saved at checkout.

You stay in control

Turn automatic top-up off at any time from the same panel. If a charge ever fails, we email you and leave it disabled so you are never charged unexpectedly.

Credit history

Your credit history is a running ledger of every credit that came in and went out.

  • See your current balance, total received and total spent at a glance.
  • Each row links to the scan it paid for or the invoice for a purchase.
  • Open it by clicking your credit balance in the top bar.

Managing your account

Open Account from the menu under your email address to manage your details:

  • Change your email: we send a verification link to the new address to confirm it.
  • Change your password: enter your current password and choose a new one.
  • Delete your account if you no longer need it.

Deleting your account

Deleting your account logs you out and blocks future logins. Confirm with your password. Your past scans and purchases are kept for our records.

Frequently asked questions

Do credits expire?

No. Credits stay on your account until you use them, with no subscription or expiry date.

How do I get a refund for a failed scan?

It is automatic. If a scan cannot be completed, the credit is returned to your balance without you doing anything.

How do I change my email address?

On the Account page, enter a new email. We send a link to that address; click it to confirm the change.

Can I buy without VAT as an EU business?

Yes. Tick "I am a business" and enter your VAT number. Once it is validated against VIES, an EU VAT number outside Belgium is reverse-charged and no VAT is added to your total.

Where do I find my invoices?

Open the menu next to your email and choose Invoices. Every purchase has a downloadable PDF invoice, and you can export a full quarter or year as a ZIP.

Is automatic top-up safe to enable?

Yes. You set the threshold and package, you can disable it anytime, and if a charge fails we email you and switch it off rather than retrying.
